Refund Policy

This page explains in practical terms which cancellation and refund rules apply on Reiseathleten, which underlying document is decisive in each booking model, and who handles any repayment operationally. The booking confirmation, the applicable contract terms, and mandatory law always remain decisive.
1. Which rules apply to which booking?
For Reiseathleten-operated trips, the Reiseathleten Terms apply first.
For partner retreats in the marketplace, the Reiseathleten Marketplace Terms apply first, together with the host-specific cancellation and rebooking policy disclosed on the retreat page and during booking.
Mandatory statutory rights continue to apply in all cases. Information on statutory withdrawal rules is available in the withdrawal notice.
2. Reiseathleten-operated trips
If Reiseathleten is the organiser of the trip, any lump-sum cancellation compensation is generally based on the Reiseathleten Terms unless the specific offer validly discloses different rules.
- up to 61 days before departure: 10% of the travel price
- 60 to 36 days before departure: 25% of the travel price
- 35 to 15 days before departure: 50% of the travel price
- 14 to 8 days before departure: 75% of the travel price
- less than 8 days before departure or no-show: 100% of the travel price
If demonstrably higher actual costs apply to specific components or different rules were validly disclosed for the particular trip, those rules may take priority where legally permitted. Travellers remain free to prove that no loss or a substantially lower loss occurred.
3. Partner retreats in the marketplace
For partner retreats, the host named on the retreat page is the organiser, operator, and service provider of the retreat or travel service. That means the host's disclosed cancellation, rebooking, service-change, and host-side refund rules apply first.
Reiseathleten remains responsible for the marketplace flow, guest confirmation, any initial payment processed on-platform, and communication within the Reiseathleten system. If a partner retreat cannot take place as booked or the host makes a material change, the host remains responsible for any legally or contractually required remedy, replacement, or refund. Reiseathleten may support the communication and technical handling of amounts that were processed through the platform.
4. Deposits, remaining balances, and payment flow
If Reiseathleten collected an amount itself, Reiseathleten may process a refund of that amount according to the applicable terms, mandatory law, and the technical/payment-provider framework.
If the host collected the remaining balance or any additional amount directly, the host is generally responsible for refunding that portion. Reiseathleten does not automatically become the debtor for amounts collected directly by the host.
5. How to notify cancellations and refund requests
- Cancellations should always be notified as early as possible in text form.
- For Reiseathleten-operated trips, you should send the cancellation directly to Reiseathleten.
- For partner retreats, you should inform both the host and Reiseathleten through the booking channel or support channel so the case is documented clearly.
- Please keep your booking number, travel dates, and any communication records.
6. Important exceptions and statutory rights
This summary does not replace mandatory statutory rights. In cases of material service changes, organiser cancellation, extraordinary circumstances, or other statutory exceptions, broader or different rights may apply.
Flights, insurance, and other third-party services booked separately are subject to their own terms and are not automatically covered by a Reiseathleten or host refund.
7. Processing time and payout
The actual processing time depends on the booking model, the contractual review, the payment path, and where relevant coordination with the host or other service providers. Refunds are processed through the technically and legally appropriate channel; mandatory statutory deadlines remain unaffected.
